CANCELLATION & REFUND POLICY

1. Introduction

At The Travel Foot Adventures Pvt. Ltd. (“The Travel Foot”, “Company”, “we”, “our”, or “us”), we understand that travel plans may change due to unforeseen circumstances. This Cancellation & Refund Policy has been designed to maintain operational transparency and ensure fair processing of cancellations, refunds, booking modifications, and operational changes for all travelers.

This Policy shall be read in conjunction with our Terms & Conditions, Privacy Policy, Disclaimer, and other official policies published on the Website.

“The Travel Foot” is the brand name, trade name, and operating identity of The Travel Foot Adventures Pvt. Ltd., a company incorporated under the Companies Act, 2013.

3. Cancellation by Traveler

3.1 Cancellation Request Procedure

All cancellation requests must be submitted in writing through the registered booking email address used at the time of booking.

The effective cancellation date shall be calculated based on the date and time the cancellation request is officially received by The Travel Foot Adventures Pvt. Ltd.

Cancellation requests made through phone calls, WhatsApp messages, social media messages, or verbal communication shall not be considered valid unless acknowledged in writing by the Company.

3.2 Cancellation Charges

Cancellation charges shall apply as per the following schedule:

15–19 Days Before Departure 40% Of The Total Invoice Amount

7–9 Days Before Departure 65% Of The Total Invoice Amount
0–6 Days Before Departure 85% Of The Total Invoice Amount

All cancellation charges shall be calculated on the total invoice amount of the booking.

3.3 Refund Processing Timeline

Eligible refunds, if applicable, shall be processed within 15 working days from the date of cancellation confirmation.

Refunds shall be issued only to the original payment source/account through which payment was received by The Travel Foot Adventures Pvt. Ltd.

The Company shall not be responsible for delays caused by:

  • Banking Networks
  • Payment Gateways
  • Credit Card Providers
  • UPI Platforms
  • Financial Institutions
  • or Third-Party Payment Processors

4. Non-Refundable Situations

No refunds shall be provided in the following situations:

  • No-Show
  • Voluntary Trip Abandonment
  • Late Arrival
  • Early Departure From The Tour
  • Unused Services
  • Missed Transfers
  • Missed Sightseeing Activities
  • Missed Meals
  • Missed Accommodation
  • Failure To Carry Required Travel Documents
  • Medical Disqualification During The Trip
  • Removal Due To Misconduct Or Violation Of Safety Instructions

Unused services are strictly non-refundable.

5. Cancellation or Modification by The Company

5.1 Operational Cancellation Rights

The Travel Foot Adventures Pvt. Ltd. reserves the right to cancel, postpone, reschedule, or modify any departure due to:

  • Insufficient Group Participation
  • Operational Constraints
  • Safety Concerns
  • Adverse Weather Conditions
  • Natural Disasters
  • Landslides
  • Political Unrest
  • Government Restrictions
  • Pandemics
  • Force Majeure Events
  • Supplier Failures
  • or Circumstances Beyond Reasonable Control

5.2 Alternative Arrangements

In such situations, travelers may be offered:

  • An Alternate Departure Date
  • Rescheduling Option
  • Travel Credit
  • Alternate Travel Arrangement
  • or Refund Of Recoverable Land Arrangements Subject To Vendor Policies

The decision of The Travel Foot Adventures Pvt. Ltd. regarding operational feasibility and traveler safety shall be final and binding.

6. Third-Party Booking Disclaimer

The Travel Foot Adventures Pvt. Ltd. shall not be responsible for any incidental or consequential expenses incurred by travelers, including but not limited to:

  • Flight Tickets
  • Train Tickets
  • Visa Charges
  • Travel Insurance
  • Hotel Bookings
  • Taxi Reservations
  • Activity Reservations
  • or Any Third-Party Arrangements Not Booked Directly Through The Travel Foot Adventures Pvt. Ltd.

Travelers are advised to book flexible or refundable transportation wherever possible.

7. Force Majeure

No liability or compensation shall arise where the performance of contractual obligations is prevented, delayed, or affected by force majeure events including:

  • Natural Disasters
  • Floods
  • Earthquakes
  • Landslides
  • Extreme Weather Conditions
  • Epidemics
  • Pandemics
  • Government Restrictions
  • Political Disturbances
  • War
  • Civil Unrest
  • Transportation Shutdowns
  • or Other Circumstances Beyond Reasonable Control

Any additional expenses arising due to force majeure situations shall be borne directly by the traveler.

8. Refund Limitations

Refunds, where applicable, shall be limited only to recoverable amounts received back from hotels, transport operators, local vendors, activity providers, or third-party suppliers.

Certain permits, government fees, entry tickets, processing fees, taxes, and non-refundable bookings may remain non-refundable irrespective of the cancellation timeline.

9. Amendment of Bookings

Any request for:

  • Date Changes
  • Destination Changes
  • Traveler Name Changes
  • Itinerary Modifications
  • or Service Upgrades

shall be subject to:

  • Availability
  • Operational Feasibility
  • Vendor Policies
  • and Applicable Additional Charges

The Company reserves the right to accept or decline amendment requests.
