TOUR / TREK DATE CHANGE POLICY

1. Introduction

At The Travel Foot Adventures Pvt. Ltd. (“The Travel Foot”, “Company”, “we”, “our”, or “us”), we understand that travel plans may require modification due to personal, operational, or unforeseen circumstances.

This Tour / Trek Date Change Policy outlines the terms, conditions, operational procedures, and responsibilities applicable to travelers requesting a change in their confirmed travel dates.

4. Date Change Request Procedure

All requests for tour or trek date changes must be submitted in writing through the traveler’s registered booking email address at least 15 (Fifteen) days prior to the scheduled departure date.

All date change requests shall be accepted and processed only through official written communication sent to the Company’s authorized email address:

For operational transparency, record maintenance, and verification purposes, requests made through:

  • Phone Calls
  • WhatsApp Messages
  • SMS
  • Social Media Platforms
  • Verbal Communication

shall not be considered valid, binding, or acknowledged unless formally confirmed in writing by The Travel Foot Adventures Pvt. Ltd.

Travelers are advised to obtain written acknowledgment from the Company regarding any approved date change request.


5. Additional Charges & Third-Party Service Cost Adjustments

Approved date change requests may result in additional charges, revised pricing, retention costs, fare differences, rescheduling expenses, or operational charges imposed by independent third-party service providers associated with the booking.

Such third-party service providers may include, but are not limited to:

  • Hotels
  • Airlines
  • Transport Operators
  • Camps
  • Local Vendors
  • Activity Providers
  • Ground Handling Agencies
  • Permit Authorities
  • Government Bodies
  • or Other Travel Service Providers

Any additional amount arising due to:

  • Seasonal Pricing Changes
  • Peak Season Surcharges
  • Hotel Rate Revisions
  • Transport Fare Changes
  • Permit Fee Revisions
  • Government Taxes
  • Vendor-Imposed Charges
  • or Operational Cost Escalations

shall be borne solely by the traveler.

The Travel Foot Adventures Pvt. Ltd. acts as an independent travel company coordinating travel arrangements through multiple third-party service providers and shall not be held liable for:

  • Vendor-Imposed Retention Charges
  • Dynamic Fare Increases
  • Government Fee Revisions
  • Seasonal Price Variations
  • Permit Cost Changes
  • or Third-Party Operational Charges

applicable at the time of rescheduling.

All revised costs, if applicable, shall be communicated to the traveler through official written communication prior to confirmation of the revised travel date.


6. Validity of Rescheduled Bookings

Approved rescheduled bookings must generally be utilized within the operational travel season or within the validity period communicated by The Travel Foot Adventures Pvt. Ltd.

Failure to utilize the revised booking within the approved validity period may result in automatic lapse of the booking without refund.

Any further rescheduling request after an approved date change shall remain subject to:

  • Operational Feasibility
  • Vendor Policies
  • Availability
  • and Applicable Additional Charges

7. Force Majeure & Operational Disruptions

In the event of:

  • Natural Disasters
  • Landslides
  • Floods
  • Earthquakes

  • Transportation Disruptions
  • Pandemics
  • Epidemics
  • or Other Force Majeure Circumstances Beyond Reasonable Control

subject to operational feasibility and vendor policies.

Any additional expenses arising due to such force majeure events shall be borne directly by the traveler.


8. Non-Transferability of Booking

Date changes are applicable only for the originally confirmed traveler(s).

Transfer of booking to another individual or replacement of traveler names shall remain subject to:

  • Operational Feasibility
  • Permit Regulations
  • Government Guidelines
  • and Applicable Additional Charges

The Company reserves the sole right to approve or reject any such transfer request.


9. Limitation of Liability

The Travel Foot Adventures Pvt. Ltd. shall not be liable for:

  • Visa Costs

  • Travel Insurance Costs
  • Personal Expenses

arising due to date change requests initiated by the traveler or resulting from operational circumstances beyond the Company’s reasonable control.

Participation in trekking, adventure travel, and expedition activities remains voluntary and subject to operational and environmental conditions.
